Here is exactly what a Switch&Save EPOS system costs. There are two packages, and the prices are the same for both versions of Switch&Save EPOS: Hospitality for food businesses and Retail for shops. Every price on this page excludes VAT, and both packages have a 12-month minimum term.
Short version: the Complete Package costs less on day one (£428 + VAT at checkout). The Upfront Package costs more on day one (£924 + VAT) but less every month, so it works out cheaper over time. Card machine transaction fees are always separate and are quoted by the card provider.
The two EPOS packages
Complete Package: £349 + VAT upfront
- Hardware: £349 + VAT, paid once. The hardware is yours to keep.
- Monthly service plan: £79 + VAT a month for months 1 to 12, then £39 + VAT a month from month 13.
- Minimum term: 12 months, then monthly rolling with 30 days’ written notice.
- Card machine: included, subject to your merchant application being approved. No separate card-machine rental is added to your monthly plan. Transaction fees are separate and quoted by the card provider.
- Pay at checkout: £428 + VAT (the £349 hardware plus your first month at £79).

What you pay today, and every month after
At checkout you pay the hardware and your first month of the service plan together. After that, the service plan is collected automatically each month from the payment method you set up at checkout.
Worked example: Complete Package
- At checkout: £349 hardware + £79 first month = £428 + VAT (£513.60 including VAT at 20%).
- Months 2 to 12: £79 + VAT a month (£94.80 including VAT), collected automatically.
- From month 13: £39 + VAT a month (£46.80 including VAT), until you or we end the plan with 30 days’ written notice.
Worked example: Upfront Package
- At checkout: £899 hardware + £25 first month = £924 + VAT (£1,108.80 including VAT at 20%).
- From month 2: £25 + VAT a month (£30 including VAT), collected automatically.
Add-ons and upgrades you choose are added to the hardware price at checkout. Card transaction fees are billed by your card provider, not by us.
Year 1 and 3-year costs compared
| Total cost, + VAT | Complete Package | Upfront Package |
|---|---|---|
| Year 1 (hardware + 12 months) | £349 + (12 × £79) = £1,297 | £899 + (12 × £25) = £1,199 |
| Year 2 (12 months) | 12 × £39 = £468 | 12 × £25 = £300 |
| Year 3 (12 months) | 12 × £39 = £468 | 12 × £25 = £300 |
| 3-year total | £2,233 | £1,799 |
Over 3 years the Upfront Package costs £434 less than the Complete Package. The Complete Package needs less cash on day one. These totals are for the standard package only: they don’t include add-ons, card transaction fees or VAT.
What’s in the box
Both packages include the same hardware, set up for the till you choose.

- Double-screen EPOS till. Switch&Save EPOS (Hospitality) runs on a tablet-based till with a customer-facing second screen. Switch&Save EPOS (Retail) runs on a Windows touch-screen till with a customer display.
- Barcode scanner (Retail): a desktop 2D barcode scanner is included. Switch&Save EPOS (Hospitality) comes without a scanner.
- Receipt printer: an 80 mm receipt printer.
- Cash drawer.
- Card machine: as set out for each package above.
- 24-month return-to-base warranty on the hardware. See our Refund & Returns Policy for what it covers.
What the monthly service plan includes
We call it the Cloud & Care plan. The monthly fee pays for the software and the service, not for the hardware: once you’ve paid the upfront price, the hardware is yours.
- Cloud: your sales, products and reports sync to the cloud, so you can see your reports from anywhere.
- Automatic cloud backup of your products, sales and settings.
- Software updates: new features, security updates and UK rule changes such as VAT, installed automatically.
- UK support: remote support Monday to Friday, 9:00am to 5:30pm (UK time), by phone, WhatsApp and email.
- Card machine: as set out for your package.
- Set-up help: we help load your products or menu and train your team, as agreed in your order.
Upgrades and add-ons
Each package comes with the hardware above. You can upgrade a part and pay only the difference, or add extra hardware when you order.
| Upgrade or add-on | Price | Good for |
|---|---|---|
| Handheld barcode scanner with stand (Retail, instead of the desktop 2D scanner) | +£20 + VAT | Scanning large or heavy items without lifting them onto the counter |
| 11.1-inch rear customer display | £99 + VAT | Letting customers see each item and the total |
| Extra receipt or kitchen printer | £85 + VAT | Sending orders to the kitchen, or a second till point |
| Extra cash drawer | £80 + VAT | A second till point |
| Weighing scale (Retail version) | £299 + VAT | Selling loose produce, meat or deli by weight |

Card machines and transaction fees
Both tills send the amount straight to the card machine, so staff don’t key it in twice. Which card machines you can use depends on your till and package:
| Switch&Save EPOS (Hospitality) | Switch&Save EPOS (Retail) | |
|---|---|---|
| Complete Package | Card machine included | Card machine included |
| Upfront Package | DNA Payments or Teya | DNA Payments, Teya or Dojo |
Your card machine comes under a separate agreement with the card provider, who decides whether to approve your business. Transaction fees are not part of our prices. The provider quotes them to you, and they depend on things like your card turnover and average sale. Our guide to card machine fees explains what to look for, and our card machines page has more about the providers we work with.
The 12-month minimum term, in plain words
- Both packages have a 12-month minimum term for the monthly service plan, starting when your service starts.
- During those 12 months you can’t cancel just because you’ve changed your mind. If you end the agreement early, you pay an early termination charge equal to the monthly fees left in the 12 months, less any costs we save because you’ve left.
- After 12 months the plan carries on month to month. You can end it with 30 days’ written notice.
- Cancelling your card payment or Direct Debit doesn’t end the agreement. The fees are still due.
- Once your order is paid it’s binding, and there are no change-of-mind returns once the hardware is delivered.
The full rules are in our Service Plan & Cancellation Policy and our EPOS Agreement Terms. Please read them before you order.
If your card machine application isn’t approved
With the Complete Package you pay at checkout, and the card machine depends on your merchant application being approved. If it isn’t approved, you choose one of two options:
- Switch to the Upfront Package and pay the difference: £924 less the £428 you’ve paid, which is £496 + VAT for the standard package. You then get a card machine from another supported provider (Teya, or for the Retail version also Dojo), subject to their approval.
- Get a full refund of everything you paid, including the first month of the service plan.
This is the only case where we give a full refund. Our Refund & Returns Policy explains how refunds are paid.
VAT
All our prices exclude VAT. We add VAT at the standard rate, currently 20%, to the hardware, the monthly service plan and any add-ons. If your business is VAT-registered you can usually reclaim it, subject to HMRC’s rules; ask your accountant if you’re not sure. We sell to businesses only, so at checkout you’ll confirm that you’re buying for your business.
Is it a cheap EPOS system?
We’ve priced it to be affordable to start: £428 + VAT on the day with the Complete Package, with the hardware, set-up help and UK support included. If you’d rather pay less over time, the Upfront Package is the cheapest of our two packages over 1 year and over 3 years.
When you compare EPOS prices from any supplier, add up the whole cost: the hardware, the monthly fee over the full minimum term, card transaction fees, and any add-ons or extra tills you’ll need. EPOS pricing FAQs
How much does an EPOS system cost with Switch & Save?
The Complete Package is £349 + VAT upfront, then £79 + VAT a month for months 1 to 12 and £39 + VAT a month from month 13. The Upfront Package is £899 + VAT upfront, then £25 + VAT a month. Both have a 12-month minimum term, and card transaction fees are separate.
How much do I pay at checkout?
You pay the hardware and your first month together: £428 + VAT for the Complete Package, or £924 + VAT for the Upfront Package. After that the service plan is collected automatically each month.
Which package is cheaper?
The Complete Package costs less on day one. The Upfront Package costs less overall: £1,199 + VAT in year 1 against £1,297 + VAT, and £1,799 + VAT over 3 years against £2,233 + VAT, a difference of £434 + VAT.
Do I own the hardware?
Yes. Once you’ve paid the upfront price in full, the hardware in your package is yours: the till, printer and cash drawer, plus the barcode scanner with Switch&Save EPOS (Retail). The monthly service plan pays for the software and the service, not the hardware. The card machine belongs to the card provider under its own agreement.
Are card transaction fees included?
No. Transaction fees are always separate. Your card provider quotes and charges them under its own agreement. See our guide to card machine fees.
Is there a minimum term?
Yes, 12 months on both packages. You can’t cancel for convenience during that time, and ending early means an early termination charge. After 12 months the plan is monthly rolling with 30 days’ written notice.
What happens if my card machine application isn’t approved?
On the Complete Package you can switch to the Upfront Package by paying the difference (£496 + VAT for the standard package), or get a full refund of everything you paid, including the first month.
Which card machines work with the tills?
Switch&Save EPOS (Hospitality) works with DNA Payments and Teya card machines. Switch&Save EPOS (Retail) works with DNA Payments, Teya and Dojo. The Complete Package includes a card machine; with the Upfront Package you choose from the supported providers for your till.
Can I return the system if I change my mind?
No. Once the hardware is delivered or installed there are no change-of-mind returns or refunds. If something arrives damaged, tell us within 48 hours with photos and we’ll repair or replace it. Faults are covered by the 24-month return-to-base warranty.
Do your prices include VAT?
No. All prices are shown + VAT, and we add VAT at the standard rate, currently 20%. For example, £428 + VAT is £513.60 including VAT.
