Leaving Epos Now: How to Switch EPOS Provider

A step-by-step plan for UK shops, restaurants and takeaways moving off Epos Now, without a gap in taking card payments.

Quick answer: check your Epos Now agreement for the end date, notice period and any exit charge; export your products, customers and sales reports; apply for your new card account early; set up and test the new till; then give notice in writing once the new system is live.

1. Check your Epos Now agreement

Many businesses have more than one agreement: software and support, hardware (bought, leased or on finance) and card processing. Epos Now’s UK pricing page (checked 6 November 2026) says its discounted Complete Solution bundle “requires a 12-month payments and support subscription starting at £25 per month”, so check whether your first 12 months are up. For each agreement, find:

  • the minimum term and end date;
  • the notice period, and how notice must be given (in writing, by email or through a portal);
  • any early termination charge and how it is worked out;
  • whether you own the hardware or must return it.

Epos Now’s support page lists its helpline as 0800 294 5945 and live chat from 9am to 6pm. Ask for your end date and any charges in writing.

2. Export your data before you give notice

Download your product or menu list with prices, barcodes and categories, your stock levels, your customer list (handled under UK GDPR) and your sales and Z reports. Your history usually stays with your old provider, and you must keep VAT records for at least six years.

3. Plan your card payments

If you take payments through Epos Now Payments, your card processing is part of your Epos Now setup, so plan the change. A new card provider has to approve your account first, so apply early with your ID, business and bank details ready. Keep your current card machine working until the new one is live, and remember that refunds and disputes on earlier sales can still come through your old account.

Switch&Save EPOS works with DNA Payments and Teya card machines, and Switch&Save EPOS (Retail) also works with Dojo.

4. Set up and test the new till

For hospitality, our UK team moves your menu, items and prices for free. For retail, we import your product data from your export, and we agree what can be moved from your files before we start. We set up the hardware, test card payments, receipt and kitchen printing, and train your staff before you go live.

5. Go live, then give notice

Go live on a quieter day if you can. Once everything works, give notice to Epos Now under your agreement, return anything you rented, and check the final invoices.
